Why is it relevant?: This feature on Cohere allows coaches to pick when they'll have sessions with their clients. This also allows coaches to have a little more control over their schedule by suggesting times to new clients and manually booking them in. This means fewer times when someone doesn't show up, and it shows the coach really cares about the client's progress.
Recommendation: Coaches are suggested to use the "Invite and Schedule" tool for clients to set up their sessions. But if a client is having trouble booking or facing tech issues, coaches can also use this tool to help out. It's like a backup plan! This guide will walk you through the steps on how to schedule a client for a 1:1 Service- single session or session package.
Step 1: From your Coach Dashboard, on the left side of the page, locate and click on "Service" You can choose a specific Service type, such as "1:1 Service", or select the "All" tab to view all your service.
Step 2: Identify the service you wish to schedule a session for and click on its name. This will take you to the service details page.
Step 3: On the service details page, find the session tab at the top.
Step 4: In the right center, you'll find a "Schedule Client" button. Click on it.
Step 5: A calendar will appear with two options:
- My Availability: These are the available time slots set up for the particular service.
- All Times: These are the all available times on the coach's personal calendar that they have connected to Cohere and can be used if the coach wants to book a client outside the available time slots that they have set up for this particular service.
Select one of the above options and then choose the Time Zone and the date that the coach wants to schedule the client for.
Step 6: Select the time you prefer to schedule the session for the client.
Step 7: A pop-up window will appear, offering the option to choose from existing clients or add the email address and name of a new client.

- If you're inviting a new client, select "New Client" and enter the client's email address and name.
- If you're scheduling for an existing client, select "Existing Client" and enter the client's name or email address to choose from.
Step 8: In the next section, two types of invites will be available:
- Schedule 1:1 Session (No Client Approval Required): Automatically adds and confirms the session in both your and your client’s account and calendar. Works for free sessions or existing package credits. (A temporary account will be created for new clients, which they can activate via email).
- Send 1:1 Invite (Client Approval Required): Sends an invite, creating a pending session in your account. The session is added to the client’s account and calendar only after they confirm. For paid sessions, payment is collected at the time of confirmation.
Choose the preferred option, add the Session Name and click "Confirm."
Note: In case of the option "Client Approval is Required," the session will not be scheduled if the client does not confirm the session via the email notification they receive from the coach when the coach schedules them for a session, and it'll not appear in the coach's calendar.
